Terms of Service

These Terms of Service govern your use of Polyglota’s websites, language classes, translation services, referral program and the AI Student Portal (together, the “Services”). By using the Services or creating an account, you agree to these terms. If you do not agree, please do not use the Services.

1. About Polyglota / Company information

Polyglota (polyglota.app) is a language and translation institution operating from Portugal, offering online language classes, professional and certified document translations, a free Spanish level test, and an AI-powered learning portal.

You can reach us at info@polyglota.app for any question, complaint or legal notice. Registered company details are available on request at the same address.

2. Accounts

To use the AI Student Portal you create an account with your name, email address, phone number and a password. You are responsible for keeping your login details secure and for activity under your account. You must provide accurate information and be old enough to enter into these terms in your country (see “Children and minors” in our Privacy Policy).

We may suspend or close accounts that violate these terms, attempt to abuse free allowances or rewards, or endanger the security of the Services.

3. Access categories and AI allowances

The portal offers three access categories: Free (limited AI practice, for trying the platform), Pro Self-Study (paid platform access without classes) and Classes + Pro (students with active paid classes; platform access included). Each category includes an AI-usage allowance shown inside the portal.

Allowances, features and category boundaries may change over time. We will aim to give reasonable notice of material reductions, and changes never remove learning records you have already created.

4. Classes, scheduling and lesson balance

Classes are booked and tracked through a lesson balance: purchased lesson packages add credits, completed lessons deduct them. Lesson packages are personal and non-transferable unless we agree otherwise in writing.

Rescheduling: a scheduled class can be rescheduled free of charge up to 24 hours before its start time. Classes cancelled or missed with less notice may be deducted from the balance, except where the teacher agrees otherwise or the law requires otherwise.

Manual payments (bank transfer) become effective when the teacher or Polyglota confirms them. Confirmation of a payment activates the corresponding lesson credits and any included platform access.

5. Payments and subscriptions

Prices are shown before purchase. Payments are currently made by bank transfer (with card and online payments planned); a payment is complete when confirmed by Polyglota or your teacher.

Optional platform subscriptions (such as a monthly self-study plan) renew for the stated period until cancelled. You can cancel a subscription at any time with effect from the end of the current paid period.

Refunds and cancellations are governed by our Refunds & Cancellation Policy, which forms part of these terms.

6. Translation services

Translation work begins from the documents you upload and the information you give us. You confirm you are entitled to share those documents and that they are authentic; we may decline work on documents we suspect are unlawful or falsified.

IMPORTANT — certification: there is no single universal “sworn translation” in Portugal. Whether an official body accepts a translation depends on the receiving authority and destination country (certified digital copy, notarial certification, apostille or consular legalisation). We confirm the applicable requirement with your quote, but the FINAL decision always belongs to the receiving authority — we cannot and do not guarantee acceptance by any specific authority.

Quotes are based on the documents provided; material changes to scope may change the price. Physical delivery options (registered post, courier, in-person handover) are offered as described at the time of the quote and may depend on availability.

7. Free Spanish level test

The level test provides an ESTIMATE of your level for orientation purposes. It is not an official certificate and does not replace formal examinations (such as DELE). Results may be used, with your contact details, to prepare a personalised study proposal.

8. Referral program

Account holders receive a personal referral link/code. If a person you refer starts paid classes or purchases a package, you may become eligible for one reward per referred person (for example one free class or a €25 gift card), as offered at the time.

Rules: rewards require a completed PAID purchase by the referred person; self-referrals, duplicate or fabricated accounts, and any abuse disqualify the reward and may lead to removal from the program; rewards are confirmed by Polyglota, are personal, non-transferable and cannot be exchanged for cash (except where a monetary form such as a gift card is the reward itself); unconverted referrals expire after 90 days; we may change or end the program at any time for future referrals. Any taxes on rewards are your responsibility.

Share your link responsibly: only with people who may genuinely be interested. Sending spam or unsolicited bulk messages with your link violates these terms.

9. AI-generated content

Parts of the portal use AI (including Google Gemini services) to generate exercises, practice conversations, feedback on writing and speaking, study plans and drafts. AI output can be imperfect, incomplete or inaccurate and is provided as a LEARNING AID only — it is not professional, legal, medical or certified advice, and level estimates produced by AI are informational.

Human teachers review key materials, but we do not guarantee that any specific AI output is error-free.

10. Recordings and learning data

Speaking practice features (pronunciation, speaking missions, conversation practice, class replays) can process your voice or transcripts to give feedback. Class-conversation analysis is only performed with the consent captured in the flow. Your learning records (progress, mistakes, vocabulary, notes) are stored to power your personal learning memory and teacher review.

11. Acceptable use

You agree not to misuse the Services — for example: attempting to break security or access other users’ data; scraping or bulk-extracting content; reselling access; uploading unlawful, infringing or malicious content; harassing teachers, staff or other learners; or using automation to consume AI allowances. We may suspend accounts that violate this section.

12. Intellectual property

Polyglota’s curriculum, exercises, software, branding and materials are owned by Polyglota or its licensors and are protected by law. You receive a personal, non-transferable, non-exclusive right to use them for your own learning. You may not copy, resell or redistribute them.

Translated documents delivered to you may be used for their intended purpose; underlying source documents remain yours.

13. User content

You keep ownership of content you submit (answers, recordings, messages, uploaded documents). You grant Polyglota the limited right to store and process this content to provide and improve the Services, including teacher review and AI processing as described in the Privacy Policy. We do not sell your content.

14. Service availability and changes

We work to keep the Services available but do not guarantee uninterrupted access. Features (including AI features) may be changed, suspended or discontinued; scheduled classes and confirmed translation orders are always honoured or refunded per the Refunds & Cancellation Policy.

15. Disclaimer of warranties

Except as expressly stated (and except for rights that consumer law grants you and that cannot be waived), the Services are provided “as is” and “as available”, without warranties of any kind, including fitness for a particular purpose or specific learning outcomes. Language learning results depend on many factors, including your own practice.

16. Limitation of liability

To the maximum extent permitted by law: Polyglota is not liable for indirect, incidental or consequential damages, loss of profits, or loss of data caused by events outside our reasonable control; and our total liability for claims connected to a paid service is limited to the amount you paid for that service in the 12 months before the event giving rise to the claim.

Nothing in these terms limits or excludes liability that cannot be limited by law (including liability for intent or gross negligence, or the statutory rights of consumers in the EU).

17. Indemnity

If your unlawful use of the Services or breach of these terms causes claims from third parties against Polyglota, you agree to compensate the reasonable costs and damages resulting from that breach, to the extent permitted by law.

18. Termination

You may stop using the Services and ask us to delete your account at any time. We may terminate or suspend access for material breach of these terms. Sections that by nature survive termination (intellectual property, liability, disputes) continue to apply.

19. Governing law and disputes

These terms are governed by the laws of Portugal, without prejudice to mandatory consumer protections of your country of residence within the EU. Disputes will first be attempted to be resolved amicably — write to us and we will respond promptly.

EU consumers may also use the European Commission’s Online Dispute Resolution platform (ec.europa.eu/consumers/odr) or contact their local consumer arbitration body. In Portugal, lists of consumer dispute entities are available at consumidor.gov.pt.

20. Changes and contact

We may update these terms; material changes will be announced with reasonable notice on the site or by email. Continued use after the effective date constitutes acceptance. Questions? Email info@polyglota.app.
